Terms of Service
Last updated: March 29, 2026
What this is
WhenCanWe is a free group scheduling tool. By using it, you agree to these terms. If you don't agree, please don't use the service.
How it works
You create events, share links, and collect availability from your group. You can optionally connect your Google Calendar for automatic availability detection. No accounts are required — your identity is stored in a browser cookie.
Your responsibilities
- Only share event links with people you intend to invite
- Don't use the service to spam, harass, or collect other people's data
- Don't attempt to access other participants' calendar details
Calendar access
When you connect Google Calendar, we access your events in read-only mode to find scheduling conflicts. We do not modify your calendar. You can revoke access at any time through your Google account settings.
AI features
WhenCanWe uses AI to parse event descriptions, rank time suggestions, and generate nudge messages. AI outputs are suggestions — always verify that the proposed time works for your group.
Availability and warranties
WhenCanWe is provided “as is” without warranties of any kind. We do our best to keep the service running, but we don't guarantee uptime or accuracy. We're not liable for missed meetings, scheduling conflicts, or any damages arising from use of the service.
Changes to these terms
We may update these terms. Continued use of WhenCanWe after changes constitutes acceptance of the new terms.
